How to allocate your class timetableWelcome to Monash University, Sunway campus! At Monash University, students are expected to play an active role in planning and allocating for their own class timetable for the units enrolled via Allocate+/Allocate Plus system at http://allocate.its.monash.edu.au/. STEP 1: Accept the offer of admission 2.1 Reminder: Please ensure that you have completed STEP 1 and allow the University at least 72 hours to process your enrolment form. 2.2 To be able to access to Allocate+, you will need an authcate account. Go to www.monash.edu.au/students/computer/ and click on ‘Register for a new account’ . 2.3 You will arrive at the ‘Register for a New Account’ page. Key-in your Monash student ID (eight digits) and click on ‘Continue’. Rules and Regulations will be displayed, read them carefully then click on ‘I agree’ to continue. 2.4 The next page is ‘Registration: Personal Details’ and you must provide your ‘surname, given name(s), date of birth and name of the street or block’ as in your correspondence address (exactly like the way you first filled-up the application for admission form). If there are any discrepancies with the data that you have provided, the Authcate system will display an error message and it will not issue you with the Authcate username and password. If you have any problem at this point, please contact ITS Helpdesk at 603-5514 6200, which is located at the “One Stop Information Centre’, building 7, level 1 of Learning Commons. 2.5 When you have obtained your Authcate user ID and password, please write your user ID in a safe place and keep your password a secret; it should be kept as secure as the PIN that gives access to your bank account. You are advised to set your Personal Identification Word (PIW) just in case you forget your password. STEP 3: Obtain the respective course timetable Plan your schedule by first printing out the timetable information for the units that you have enrolled. To obtain the respective course timetable, please go to Monash website at www.monash.edu.my and click on ‘Timetables For Semester One 2008’ available on the 15 January 2008. From the list of all available timetables and their links, click on the course in which you are enrolled and the course which offers the elective/s (if any) that you are enrolled in. The course timetables are available in two formats - tables and grids. STEP 4: Proceed to allocate your enrolled activities Note: To be able to proceed with this step, you must have completed STEP 1 for at least 72 hours, i.e. submitted your ‘Acceptance Document-1’ to your course manager, submitted the ‘Acceptance Document-2’ to the Financial counter and have already paid the Initial Fees to the University. 4.1 Go onto the AllocatePlus system at http://allocate.its.monash.edu.au/, click on the “Student Login”, enter your authcate username and password. Then click on the ‘Click here when ready!’ button.
4.3 Possible Error Messages
4.4 “Preference Entry” mode The schedule of Operation for Allocate+ Semester One 2008 is available at http://allocate.its.monash.edu.au/ . Once Allocate+ is open in Preference Entry mode, you should access the system via the Internet (follow the steps as given above) and enter your preferences, for each activity group in each unit. By keying in the number ‘1’ for first choice, the number ‘2’ for second choice and so on, in the empty boxes provided . Allocate+ in this mode is not a first come/first served system. Your preferences are collected, ranked, randomised and sorted. After completion of the global sort, you will be provided with a clash free timetable. This procedure follows to allocate students to their preferences so that each student gets an equal share of first, second, third and other preferences.
4.5 “Allocation Adjustment” mode Once Allocate+ is open in Allocation Adjustment mode, you may view your clash free timetable and are advised to check the outcome of your allocation. If you are not happy with your allocation, or have not been allocated to an activity, you may choose from available remaining timeslots for an instant allocation (on a first come first served basis). Just click on the ‘Pick Me’ button of your choice of lectures/tutorials/labs, you will be allocated to that particular activities. You can then print out your allocation/timetable in a table or grid format (use the command icon on top of the screen). 4.6 At the end of the second week of the semester, the Allocate+ in Allocation Adjustment mode will be closed, however, it will remain available in View Only mode for another two weeks . Students will be informed via their Monash email address of any changes that will affect their allocated schedule for the semester. 4.7 If you have problems in selecting any of the lectures/tutorials/labs/computer labs due to timetable clashes, please see your Course Manager/Course Executive or lecturer concerned for further advice .
