Cancellation

If you are completing your studies with us, you must cancel your student pass. This also applies if you decide to intermit, discontinue, or transfer to another institution. Please fill out this form and submit the following documents to our International Student Pass office to cancel your student pass:

  • Original passport
  • Two copies of the passport information pages, latest student pass page and latest Malaysian entry stamp page
  • A copy of your departing air ticket to your home country (ensure that departure date is 4 weeks from the date of submission of passport and documents to ISP). If you are not returning to your home country, you will need to provide additional documents to justify this (e.g. parents' employment pass or residence permit of the country that you are heading to).
  • Offer letter from your new institution (if transferring)
  • Offer letter from your employer and employment pass application acknowledgement (if offered a job in Malaysia)

Effective December 2020, if you are converting your student pass to employment pass, you are required to exit the country after cancelling your student pass.

If your student pass has expired or are going to expire before your flight departure date, you will need to apply for a special pass in addition to cancelling your student pass. Please make payment of RM100 (see payment methods here) and attach the proof of payment via Finance Helpdesk and submit the following documents to our International Student Pass office to apply for a special pass:

  • One passport-size photo
  • A copy of the completed IM12 form (download form here, fill out Sections A and B only)
  • A copy of Form A (download form here, fill out up until ‘Expiry date of pass’ only)

Malaysian Immigration can take up to 14 working days to cancel your pass.

Changes to processes for cancellation of student pass

1. International students who are completing studies:

  1. You need to make the necessary arrangements to leave Malaysia within 45 days upon release of results for your final semester of study.
  2. You are required to submit the required documents for the cancellation of your student pass to the International Student Pass (ISP) Office within 10 working days upon release of results for your final semester of study.
  3. You need to be physically present in Malaysia for the cancellation of your student pass. Hence, your flight departure date must be approximately 4 weeks after you have submitted required documents for cancellation process.
  4. If you wish to leave Malaysia prior to the release of results, you are required to complete the above-stated items (1-3) before you leave. Otherwise, you will need to return to Malaysia to complete the process.
  5. Upon release of results, you will be able to view your results on the Web Enrolment System (WES). However, official academic transcripts will not be released until you have submitted all required documents for student pass cancellation.
  6. If you fail to complete the steps as outlined above, you will incur an administrative encumbrance. You will lose access to academic transcripts and WES, and will not be able to graduate.
  7. Failure to cancel your student pass within 10 working days of the release of your final semester results will result in a report being lodged with the following authorities: Police, Ministry of Higher Education and Immigration Department, Malaysia.
  8. Monash Malaysia will not support the renewal of student pass for the purpose of undertaking an internship after course completion.

2. International students applying for intermission or discontinuation or unable to continue with studies due to suspension or exclusion:

  1. As soon as you become aware of your circumstances, please consult ISP and submit the relevant documents together with original passport and proof of purchase of a confirmed air ticket to your home country.
  2. You need to be physically present in Malaysia for the cancellation of your student pass. Hence, your flight departure date must be approximately 4 weeks after you have submitted required documents for cancellation process.
  3. If you leave Malaysia before completing items (1-2) above, you will need to return to Malaysia to complete the process.
  4. If you fail to complete the steps outlined in items above, you will incur an administrative encumbrance. You will lose access to academic transcripts and the Web Enrolment System (WES).
  5. Failure to cancel your student pass within 10 days working days from the date of approval/endorsement for intermission, discontinuation or date of decision for suspension or exclusion will result in a report being lodged with the following authorities: Police, Ministry of Higher Education and Immigration Department, Malaysia.
