Cancellation

If you are completing your studies with us, you must cancel your student pass. This also applies if you decide to intermit, discontinue, or transfer to another institution. Please fill out this form and submit the following documents to our International Student Pass office to cancel your student pass:

  • original passport
  • two copies of the passport information pages, latest student pass page and latest Malaysian entry stamp page
  • a copy of your departing air ticket (ensure that departure date is 4 weeks from the date of submission of passport and documents to ISP)
  • offer letter from your new institution (if transferring)
  • offer letter from your employer (if offered a job in Malaysia)

Malaysian Immigration can take up to 14 working days to cancel your pass.

Changes to processes for cancellation of student pass

1. International students who are completing studies:

  1. You are required to submit to the International Student Pass (ISP) Office the duly completed Course Completion form, original passport and the proof of purchase of a confirmed air ticket to your home country within 10 working days upon release of results for your final semester of study. You need to be physically present in Malaysia for the cancellation of your student pass and the process will take approximately 4 weeks. You need to make the necessary arrangements to leave Malaysia within 45 days upon release of results for your final semester of study.
  2. If you wish to leave Malaysia prior to the release of results, you are required to complete the above-stated item (1) before you leave. Otherwise, you will need to return to Malaysia to complete the process as per timelines stated in item (1) above.
  3. Upon release of results, you will be able to view your results on the Web Enrolment System (WES). However, official academic transcripts will not be released until you have submitted all required documents listed in item (1) for student pass cancellation.
  4. If you fail to complete the steps as outlined in item (1) above, you will incur an administrative encumbrance. You will lose access to academic transcripts and WES, and will not be able to graduate.
  5. Failure to cancel your student pass within 2 weeks of the release of your final semester results will result in a report being lodged with the following authorities: Police, Ministry of Higher Education and Immigration Department, Malaysia.
  6. Monash Malaysia will not support the renewal of student pass for the purpose of undertaking an internship after course completion.

2. International students applying for intermission or discontinuation or unable to continue with studies due to suspension or exclusion:

  1. As soon as you become aware of your circumstances, please consult ISP and submit the relevant documents together with original passport and proof of purchase of a confirmed air ticket to your home country.
  2. You need to be physically present in Malaysia for the cancellation of your student pass and the process will take approximately 4 weeks.
  3. If you leave Malaysia before completing item (1) above, you will need to return to Malaysia to complete the process.
  4. If you fail to complete the steps outlined in item (1) above, you will incur an administrative encumbrance. You will lose access to academic transcripts and the Web Enrolment System (WES).
  5. Failure to cancel your student pass within 2 weeks from the date of approval/endorsement for intermission, discontinuation or date of decision for suspension or exclusion will result in a report being lodged with the following authorities: Police, Ministry of Higher Education and Immigration Department, Malaysia.
