This section lists the Frequently Asked Questions (FAQs) relating to existing international students at Monash University Malaysia.

You are considered an Existing Student if you already have at least one multiple entry Student Pass sticker issued in your passport for the course you are currently enrolled in and under Monash University Malaysia.

1. Renew your Student Pass immediately by submitting all required documents through the Student Online Form - International Students / Student Pass Renewal. Refer here for detailed information on how to apply.

2. If your Student Pass has expired (or will be expiring soon), you may need to apply for an additional Special Pass to validate your stay in Malaysia while waiting for the approval of your Student Pass renewal. Please prepare a passport photo (blue/white background) and payment of RM100 should this be required. We will advise if this is required when you submit your passport to ISP.

Next steps

When your renewal application status reaches 50% (self-check available in EMGS Track My Application), ISP will request you to submit your passport. You will be notified of the submission date and time (appointment basis only).

Validity period of more than 3 months

1. Submit the required documents via the Student Online Form - International Students / Student Pass Renewal. Documents must be submitted 3 months before your Student Pass expiry date.

2. When your renewal application status reaches 50% (self-check available in EMGS Track My Application), ISP will request you to submit your passport. You will be notified of the submission date and time (appointment basis only).

Existing students who are currently in their final semester or expected to complete in the current semester

It is a mandatory requirement by the Immigration Department of Malaysia that all international students must cancel their Student Pass within one month of completing their studies. More information available here.

To submit your passport and documents for student pass cancellation, please email mum.student.visa@monash.edu to make an appointment.

If you do not complete the steps outlined above within the stipulated time, an encumbrance block will be placed on your Monash account that stops you from accessing various University services. This encumbrance will mean you won’t be able to access your results, order a student letter or academic transcript, apply for graduation or receive your testamur.

(B) If you are currently not in Malaysia and plan to enter Malaysia (refer to this section 3 months before your planned arrival date in Malaysia)

To ensure that you have a valid Student Pass when you are in Malaysia, we will commence the Student Pass renewal application process before we verify your Travel Authorisation application. Please submit your applications in the following sequence:

1. Submit all required documents for your Student Pass renewal through the  Student Online Form - International Students / Student Pass Renewal three (3) months before your Student Pass expiry date or two (2) months before your planned arrival in Malaysia (whichever is later). Refer here for further Student Pass renewal application details.

2. Proceed to apply for Travel Authorisation. Refer to the Entry Guidelines and Quarantine Process for Existing International Students Travelling to Malaysia.

3. Upon arrival in Malaysia and completing your quarantine, notify ISP at mum.student.visa@monash.edu to make an appointment to submit your passport.

4. If the Special Pass stamp/social or visit pass stamp you used to enter Malaysia has expired (or will be expiring soon) after your quarantine period, you may need to apply for an additional Special Pass to validate your stay in Malaysia while waiting for the approval of your Student Pass renewal. Please prepare a passport photo (blue/white background) and payment of RM100 should this be required. We will advise if this is required when you submit your passport to ISP.

Expired/Expiring within 3 months and have an existing renewal application with EMGS (please check EMGS Track My Application)

1. Apply for Travel Authorisation. Refer to the Entry Guidelines and Quarantine Process for Existing International Students Travelling to Malaysia.

2. Upon arrival in Malaysia and completing your quarantine in Malaysia, notify ISP at mum.student.visa@monash.edu to make an appointment for the submission of your passport.

3. If the Special Pass stamp/social or visit pass stamp you used to enter Malaysia has expired (or will be expiring soon) after your quarantine period, you may need to apply for an additional Special Pass to validate your stay in Malaysia while waiting for the approval of your Student Pass renewal. 2. Enter Malaysia with your valid student pass

3. Apply to renew your Student Pass 3 months before it expires by submitting the required documents via the Student Online Form - International Students / Student Pass Renewal.

(C) If you are currently not in Malaysia and do not plan to enter Malaysia

All Status

1. No action is required with your Student Pass unless you decide to enter Malaysia (see Section B above).

2. We will continue to provide fully online education throughout Semester 2, so you can make your plans for Semester 2 with the security of this guarantee if you are not in Malaysia.

You must submit the following documents to ISP at mum.student.visa@monash.edu within 10 days of the release of examination results when you have completed your course. This is a mandatory requirement by Immigration. More information available here.

  • A copy of your passport information page;
  • Latest student pass sticker page; and
  • Latest exit stamp from Malaysia.

Other Important Information 

1. Definition of EMGS application status in EMGS Track My Application:

  • Below 50%: Your renewal application is being reviewed by EMGS.
  • 50%: EMGS is requesting for the submission of your passport. Please be guided by the above, depending on your circumstances.
  • Above 50%: Your passport has been submitted to EMGS, and your renewal application is being reviewed by Immigration.

2. If EMGS is requesting for corrected/additional documents, it will normally be set out in EMGS Track My Application. Please check this regularly and submit your corrected/additional documents to us via email at mum.student.visa@monash.edu

3. EMGS does not provide a refund of the processing fee after an application is submitted. Therefore, if your entry into Malaysia is delayed indefinitely, cancelled, or not approved by the authorities after your submission of documents to us via the Student Online Form, you will be unable to obtain a refund of the EMGS processing fee.

4. The Student Pass renewal process normally takes between 8 - 10 weeks. In some instances (e.g. issues relating to academic performance, attendance rate and/or course duration extension), this may take longer.

5. The approval of your student pass renewal is at the discretion of the Department of Immigration Malaysia. Renewal applications that do not meet the minimum WAM 50 and/or 80% attendance rate may not be approved for renewal by EMGS or Immigration and will impact your enrolment at Monash Malaysia.

6. If you have started your student pass renewal application prior to your return to Malaysia but your application has been closed by EMGS by the time you return to Malaysia and submit your passport to us, we will need to formally request EMGS to re-open your application. You may need to demonstrate that you were not in Malaysia for a period of time and if so, you will be advised as such by us. Please note that approvals to re-open applications are subject to EMGS' discretion.

7. If your current Student Pass status is not listed in any of the categories listed within this document, kindly contact us at mum.student.visa@monash.edu and we will assist you.

8. It is the responsibility of all students to ensure that their Student Pass remains valid at all times while in Malaysia. Applications for renewal must be submitted in a timely manner (3 months before expiry) to ISP using this form. Heavy penalties will be imposed by Immigration (fine, compound or detention) for students who do not hold a valid Student Pass while in Malaysia.
