Monash Account for Staff (

Monash IT Account provides access to your Monash email all other Monash online resources. This IT account comprises a unique username and password. The username is derived from your full name. It is a combination of letters from your first name and surname.

By login in your Monash IT account, you will have access to Monash website and other resources which are protected by a password. Example as shown below:

  • Monash email and Google Apps (Drive, Calendar, Hangouts and etc.)
  • Group Email access
  • Employee Self Service (ESS)
  • Zoom Video and Audio Conferencing

A default password will be provided to you. For security purposes, you are required to change the password within a period of 12 hours.

Important Note:

The passwords will automatically expire after 6 months. Prior to that, the system will send you an email notification as a reminder to change your password. You will not be able to access your account once the password expired.

It's advisable to change your Monash IT account password every 3 months. At any time if you believe that your password is no longer secure, change it immediately.

Once you start using your account, set yourself a Personal Identification Word (PIW). You have the option to reset your own password via online and PIW will be prompt.

For specific system account access (e.g. Moodle or Callista accounts), you may refer to Service Desk Online once your Monash IT account is set up.

Network ID for Staff and Visitor

All Monash staffs received a computer account (Network ID) to access Monash IT services, for example:

  • Home Drive & Shared Network Drives
  • Web Drive
  • Printing Services
  • Staff Intranet (Full Time Staff)
  • Wireless services
  • PC Login Access
  • MUM Checkpoint vpn

Important Note:

  1. ITS will require 4 working days to process the account creation for staff upon receiving the request from Human Resource unit
  2. The requestor must submit the request to ITS 4 working days before the visiting date to ensure proper permission can be granted for the visitor.
  3. An initial password will be created for you, but for security purposes, this password must be changed for the first time login.

Password and Security

Your Monash password expires every six months. To ensure you have a strong password, it must meet the following criteria:

It must be between 8 and 12 characters in length.

It must also include:

  • A combination of upper and lower case letters
  • At least one number
  • One or more symbols (excluding the following symbols @ “ ‘ and space bar)
  • It cannot be a dictionary word or a simple string of letters or numbers
  • It cannot be any of your previous six passwords

Multi-factor authentication (MFA)

Multi-factor authentication (MFA) provides you with increased protection, keeping your personal information private and secure. It involves using your phone to verify your identity when logging in (just like most banks use when you make a transfer online). There's more information in the section from this link:

All staff are now automatically registered to access the self-service password reset system. Please check your personal details are correct at

Network Account

You may change your password by following the steps given below:

Step 1: Log into the computer using your existing network account.

Step 2: Hit Ctrl+Alt+Del

Step 3: A dialog box will appear with the option "Change Password"

Step 4: Click on that option.

Step 5: Follow the instructions and you've successfully changed your password.
