International Student Attendance Requirement

It is a requirement by the Ministry of Higher Education Malaysia for international students to maintain a minimum 80% or satisfactory attendance in all classes throughout their course of study.

Non compliance to the attendance requirement (including absence for 3 or more consecutive days without valid supporting documents) will result in:

  • Notification to the Police, Ministry of Higher Education Malaysia and Immigration Department of Malaysia; and
  • Cancellation / non-renewal of your student pass resulting in your course discontinuation

1. For international students currently undertaking an undergraduate or a postgraduate (by coursework) program:

What do you need to do?

  • Attend ALL scheduled classes (e.g., lectures, tutorials, lab sessions etc.);
  • Ensure that your attendance is recorded by your lecturer/tutor
  • Notify your Course Management Office (CMO) immediately should you not be attending any scheduled classes
  • Submit to CMO the relevant documents supporting the absence from your class (e.g. medical certificate from doctor, police report, etc.)

Attendance recording process:

There are different ways for attendance to be recorded. It is your lecturer/tutor’s discretion to decide on the method that he/she uses to record international student attendance for a particular class/activity.

  • Your lecturer/tutor will provide you with a specific code for the class. You are to record your attendance for the class/activity by logging in to https://attendance.monash.edu.my (download a copy of the user guide here);
  • Your lecturer/tutor will mark attendance during class/activity using the Attendance System;
  • Your lecturer/tutor will use a class list to mark attendance. After the class, the data will be entered into the Attendance System; or
  • A barcode scanner will be used to scan the Student ID card during class/activity.

2. For international students currently undertaking a higher degree by research program:

What do you need to do?

  • Attend ALL scheduled meetings and maintain regular contacts with your main supervisor;
  • Devote the required amount of time in research;
  • Inform your main supervisor at the earliest possible time, when you have difficulty attending any meetings and/or meeting deadlines; and
  • Create and submit the International Research Student Monthly Attendance Review document on a monthly basis via Google Docs.

Step-by-step instructions for the submission of International Research Student Monthly Attendance Review document:

  • Step 1: Make a copy of the International Research Student Monthly Attendance Review document on Google Docs and share it with your main supervisor by the 25th of each month. A copy of the User Guide can be downloaded here.
  • Step 2: By the 2nd of the following month, ensure that your main supervisor has completed the International Research Student Monthly Attendance Review document on Google Docs. Contact your main supervisor, if necessary.
  • Step 3: Sign and acknowledge on the International Research Student Monthly Attendance Review document no later than the 4th of the following month.
  • Step 4: Inform the designated School Research Office staff via email (latest by the 4th of the following month) that you have completed the above steps.

    (Note: You should repeat the above steps on a monthly basis in order to complete your submission of the International Research Student Monthly Attendance Review document.)

3. For international students currently undertaking an Honours degree or Postgraduate Diploma:

What do you need to do?

  • Attend ALL scheduled meetings and maintain regular contacts with your main supervisor;
  • Devote the required amount of time in research;
  • Inform your main supervisor at the earliest possible time, when you have difficulty attending any meetings and/or meeting deadlines; and
  • Submit the Honours/Postgraduate Diploma Student Progress Statement on a monthly basis.

Step-by-step instructions for the submission of Honours/Postgraduate Diploma Student Progress Statement:

  • Step 1: Download the Honours/Postgraduate Diploma Student Progress Statement.
  • Step 2: Complete the form with  your student details and submit to your main supervisor.
    Ensure your main supervisor has completed and signed on the Honours/Postgraduate Diploma Student Progress Statement.
  • Step 3: Sign and acknowledge on the Honours/Postgraduate Diploma Student Progress Statement.
  • Step 4: Submit the completed Progress Statement for the month to the Course Management Office or School Research Office no later than the 2nd of the following month.

(Note: You should repeat the above steps on a monthly basis in order to complete your submission of the Honours/Postgraduate Diploma Student Progress Statement.)
